Collaborative Methodology

The key to every one of our successful projects is our teamwork and our methods revolving around this philosophy.  Oaks Construction Management believes in forming a cohesive team from day one of a project. We always prefer to begin working with the design team and the owner as early as possible in the design phase.

 

This instils a sense of responsibility for the ultimate success of a project for each member. We want all decisions to be made through a collaborative effort to ensure the best possible product is delivered for the highest value to the owner. Our method of teamwork has proven successful in creating trust in a project team and in turn, creating a more enjoyable project experience and project delivery for the owner. We strive to incorporate the latest technology into all phases of construction by utilizing Building Information Modeling services which provides us with greater cost effective savings and overall project control.

 

1. An introduction/project kickoff meeting will be held between the owner(s) and OaksConstruction Management (Oaks) primarily to asses the needs of the owner, the status ofthe development of the project, and preferences of the owner for moving forward. All professionals preferred or hired by the owner including developer, architects, CE, etc.should also be in attendance. If no such appointments have been made, the owner and Oaks will proceed accordingly.Items to be sorted and discussed include:

       

a.Development of the project: Does the owner have a developer 

curently involved in the project How involved would the owner prefer Oaks be in the development of the project? 

 

b. Funding of the Project: What is the owners budget? How will the owner structure potential debt and equity in the funding of this project (including money-in and-out order)? Does the owner have personal equity in the project? What banks,investors, or development trusts are funding the project and what are their terms?Does the owner expect Oaks to put up an equitable investment in the project? Who will determine payments and draw schedule?

 

c. Site/Land: Has the owner secured a site to be developed? Will the land represent acertain amount of equity in the final deal? What site work has been done(geotechnical, mitigation, etc.)?

 

d. Professional relationships pertaining to development: Has the owner selected anarchitect, CE, landscape architect, or any subcontractors for the conception of this project? What is the status of development of the project (concerning site design)?What professionals and team members will each existing party be responsible for hiring/recruiting/paying/enlisting?

 

e. Owners’ vision for the project: What kind of project does the owner want? What design “feel” will be incorporated? What will be the use of this project? What is the feasibility of the financial success of this project (plan for leases, purchases, or whatever the project will be used for)? What materials will be used in theconstruction of this project?

 

f. Schedule and procedure: What geographical considerations must be made forprofessionals collaborating on the project? How often will the project team meet all together and how often must updates be given? When will construction beginand how will development proceed?

The keys to Oaks Construction Management’s integrated approach are communication and organization. We utilize state-of-the-art technology to stay constantly connected to each other and hold frequent and regular meetings of minds in order to promote teamwork, efficiency, and innovation. We maintain an open and interactive environment where problems are solved collaboratively and new ideas are welcomed.

completion of the project will proceed as follows:

2. After the kickoff meeting, any lacking due diligence will take place by Oaks, the owner,and any relevant professionals involved in the project (division of work to be determined at the kickoff meeting) including but not limited to fees assessed by the county, state, and federal governments, environmental concerns, wetlands and other environmental mitigation, zoning ordinances and relevant code, and impact fees.

 

3. Oaks recommends to the owner that all professionals involved in the project are able to respectively meet and convene no less than two times per week (for instance Mondays and Thursdays) either by phone or in person to share updates about the progression of the project from all sides: architects, engineers, contractor, owner, investors.

 

4. A preliminary pro forma must be developed by accountants of the party predetermined to assess overall development budget. Oaks suggests the pro forma be shared in an interactive media for real time updates and same-page mentality.

 

5. A design (including schematics and plans) must be developed to the satisfactory of thebudget, the tastes of the owner, the legal restraints, and the abilities of all partiesinvolved. Site plans, unit plans, unit layout, elevations, and especially unit mixes must be determined in order to further solidify the pro forma. Oaks provides world class BIM services and project modeling. Development of project models will take place collaboratively between owner, contractor, architect, civil engineer, and legal officials (if necessary).

 

6. Subcontractors, labor, and materials must coordinated in a schedule and manner approved by the owner attended to primarily by Oaks Construction Management.

 

7. Oaks suggests the continuation of frequent meetings between all involved professionals throughout the duration of construction and commission. Purposes of these meetings may include but are not limited to revisions to BIM model and project design instigated by architects, engineers, owner, or contractor, “baking in” of real final budget numbers and budget correspondence, general procedures for plan and action of the construction project in full.
